Role Overview:
We are seeking a proactive and organized Administrative Supervisor to manage the day-to-day operations of our San Francisco office and coordinate Firmwide initiatives. This role will involve overseeing various administrative departments, supporting office functions, and ensuring smooth execution of projects, events, and daily operations.
Key Responsibilities:
- Operational Management: Supervise workflows, prioritize tasks, and allocate resources across multiple offices.
- Department Oversight: Manage daily administrative operations for local departments, including Client Service Specialists, Office Services, Records, Facilities, and Reception.
- Project Execution: Lead office-level implementations, projects, and events; manage logistics for office moves and staffing changes.
- Event Planning: Coordinate and execute office events and programs.
- Hiring & Onboarding: Participate in recruiting and onboarding administrative staff.
- Vendor & Resource Coordination: Act as a liaison with internal teams and external vendors; maintain strong vendor relationships.
- Documentation & Reporting: Maintain accurate administrative files, databases, and generate reports and presentations.
- Budgeting & Integration: Assist with budget control and ensure smooth integration of associates and staff into the office and Firm.
- Special Projects: Handle additional administrative projects as needed.
Required Proficiencies:
- Advanced proficiency in Microsoft Office Suite.
- Strong knowledge of office administration, records management, facilities procedures, and reception practices.
- Office management experience is preferred.
Qualifications:
- Education: Bachelor’s degree (preferred).
- Experience: At least 4 years of supervisory experience (preferred); 6 years of experience in a legal environment (required).
Compensation and Benefits:
- Salary: $88,000 to $124,400 annually, depending on experience and qualifications.
